    Transition to 365 (Desktop)

    This document explains how to export your Outlook 2019 email account to a .pst file and import it into your Outlook 365 account. By doing this, you will be exporting and importing your, Inbox, Contacts, and Calendar items.

    Exporting your entire Outlook 2019 email account

    Step 1

    Open your Outlook 2019 account. Select and highlight your first.last@baruch.cuny.edu.

    After your account has been selected, select “File”.

    Step 2

    Select “Open & Export”.

    Step 3

    Select the “Import/Export” option.

    Step 4

    At the Import and Export Wizard, select “Export to a file”. At the export to a File window, select “Outlook Data File (.pst)” then select Next.

    At the Select the folder to export from window, select the top level of your mailbox account, which is your first.last@baruch.cuny.edu.

    Make sure “Include subfolders” is checked.

    Select “Next”.

    At the Export Outlook Data File window, note the file’s name and the location where the file is being saved.
    Select the “Do not export” duplicate items and select “Finish”.

    At the Create Outlook Data File window, you have the option to password protect the file you will be exporting. If you choose to password-protect your file, please note your password. If you lose or forget your password, you will not be able to access your file. BCTC will not be able to recover or access your file if this occurs.

    If you choose to password-protect your file, enter the password and select ok.

    If you do not want to password-protect, leave it blank and select ok.

    If you choose to password-protect your file, it will prompt you for the password to start the export. Enter your password and select Ok.

     

     

     

    A copy of your mail box will be to be exported to a .pst file. Depending on the amount of email you have, this might take a while. You will see the progress bar displayed as the file is being created.

     

     

    Importing Your Outlook 2019 account into Outlook 365

    Step 1

    Open your Outlook 2019 account. Select and highlight your first.last##@login.cuny.edu account.

    After your account has been selected, select “File”.

    Step 2

    Select “Open & Export”.

    Step 3

    Select the “Import/Export” option.

    At the Import and Export Wizard, select “Import from another program” or file and select “Next”. At the Import to a File window, select the “Outlook Data File (.pst)” and select “Next”. Select “Do not import duplicates” and select the “Browse” option.

    Step 7

    At the Open Outlook Data Files windows browse to the location where you exported your exported file. (Your File will be named the name you gave it when you exported it.) Select the file and select “Open”.

    Back at the Import Outlook Data File window, select “Next”. If your file is password protected, it will prompt you to enter the password before proceeding.

    At the Import Outlook Data File window, verify the following options are selected:

    1. Included subfolders
    2. Import items into the same folder in:
    3. First.Last##@login.cuny.edu account is selected (This is your office 365 email account)

    Select “Finish”.

    Your Outlook 2019 email file will be imported into your Outlook 365 email account.

    Depending on the amount of email you have, this might take a while. You will see the progress bar displayed as your files are being imported.

     

    Step 12

    Once this process has been completed, a copy of your emails will appear in your Outlook 365 email account.
